How to Exclude Item Pricing from the Area and Project Total

How to control which items are included in the project total.

You may want to present multiple product options to your client without having each one affect the area or project totals. Here’s how you can control which items are included in those totals.

πŸ” Default Behavior Based on Item Status

Each item in your project has a status (e.g., Proposed, Liked, Disliked, etc.), and these statuses affect whether the item is included in the area and project totals:

  • βœ… Included by default: Any status other than Unspecified or Disliked will include the item in the total (e.g., Proposed, Liked, or any custom status).

  • 🚫 Excluded by default: Items marked as Unspecified or Disliked are automatically removed from both the Area Total and Project Total.


βš™οΈ Manually Controlling Totals

You can override the default behavior for any item:

  1. Open the item.

  2. Go to the Pricing tab.

  3. Scroll to the bottom and find the checkbox: "Include in project total."

  4. βœ… Check or uncheck the box to manually control whether this item is included in the totals, regardless of its status.

Example: You might want to show four pendant options to a client, but only include one in the total. You can set all four to Proposed, then manually uncheck the ones you want excluded.


πŸ‘ How to Visually See What’s Included

To easily distinguish between included and excluded items:

  1. Click the Display button at the top of your project.

  2. Toggle the πŸ‘οΈ eye icon.

  3. Items that are excluded from the project total will appear grayed out.

This is a quick way to audit which products are contributing to your totals.


πŸ—‚ Spreadsheet View Filtering

In the Spreadsheet View, you can also filter items based on their inclusion:

  1. Find the column labeled In Total.

  2. Use the filter to show items where:

  • True = Included in totals.

  • False = Excluded from totals.


πŸ”„ Client Interactions Can Affect Totals

If a client changes an item status (e.g., from Proposed to Liked), the item will automatically be re-included in the total unless you manually exclude it again. Keep an eye on this if you’re sharing editable views with clients.

Tip: Once the client selects their preferred item, you can archive the other options to avoid confusion or duplicate pricing in your totals.
