Update Item Specifications on an Existing Purchase Order

Update a Product Board item and bring its revised specifications into the same purchase order.

Purchase-order edits do not sync back to the Product Board. To change the specifications on both records, remove the existing order line first, update the Product Board item, then add it back from the existing order.

A purchase order must retain at least one item. You cannot remove its only item using this workflow.

Step 1: Remove The Item And Update Its Specifications

Open the existing purchase order in Orders and select Edit PO.

Remove the item from the order. Review any removal prompts and save the changes before leaving the order.

Select the × at the right end of the item row to remove it from the PO.

Open the item on the project's Product Board and update its specification details. Confirm the changes are saved.

Step 2: Add The Updated Item Back To The Same Order

Return to the same purchase order and select Edit PO.

Use Add items in the order to choose an item from the Product Board.

Add items appears inside the existing purchase order after selecting Edit PO.

In the existing purchase order, select Edit PO, then Add items above the item list.

Select the updated item, then choose Add to PO.

Review its specifications, quantity and pricing, then select Save changes.

Check that the updated item appears on the existing purchase order.

Do not use Products > Bulk Actions > Create Order to add the item back. That starts a new purchase-order workflow rather than adding to this existing order.

Troubleshooting

Problem

What to check

The updated item is missing from the picker

Check that it matches the order's project, supplier and ship-to destination, and is not still assigned to an open PO.

You cannot remove or edit the item

Check the restriction shown for its current order or fulfillment state before continuing.

The order still shows the old specifications

Confirm the Product Board changes were saved before you added the item back, then save the order changes.
