Track Replacement Items on an Order

Track a replacement for damaged or missing items

Keep a replacement connected to the original damaged or missing item, and track it through shipment and receipt in the same purchase order.

Step 1: Open the shipment's issue

  1. Open the purchase order and select Fulfillment.

  2. Find the item in its received shipment. The item should be flagged Damaged or Missing.

  3. Select the item's Edit notes button for a missing item, or Edit notes and images for a damaged item.

  4. Review the note and Units affected, then select Track Replacement.

If you have not recorded the issue yet, flag it when you mark the shipment as received. See Track Orders, Shipments, and Receiving.

Open the item’s notes and select Track Replacement.

Step 2: Record the Replacement

  1. Enter the Replacement quantity. The form shows how many units still need to be replaced.

  2. Add the Supplier replacement order number, if available. You can add it later if the supplier has not provided one yet.

  3. Add the Estimated ship date, Estimated receive date, and a Note as needed.

  4. Select Track Replacement.

The replacement appears under Not yet shipped in the order's Fulfillment tab, labeled Replacement 1 with its supplier replacement order number when entered. The original item stays in its original shipment.

Enter the replacement quantity and the supplier details you have available.

Step 3: Add the Replacement to a Shipment

  1. Find the replacement under Not yet shipped and select Add to Shipment.

  2. If an available shipment exists, choose it or select Create new shipment and Continue. If none is available, the Create Shipment form opens directly.

  3. For a new shipment, enter its carrier, tracking information, dates, and shipping cost as available, then select Create Shipment.

Check the selection before confirming. An existing shipment may already be selected. Add the replacement to it only if it is traveling with that shipment and should share its tracking information and dates. Otherwise, create a new separate shipment.

The replacement remains labeled within its shipment so you can distinguish it from the original item.

Create a shipment with the replacement’s tracking information and dates.

Step 4: Receive the Replacement

  1. When the replacement arrives, open its shipment status menu and select Received.

  2. Review Received on and check the item for issues.

  3. Leave No issue selected if it arrived in good condition, then select Mark as received.

When the replacement fulfills all affected units without an issue, Gather resolves the original exception. Open the original item's notes to review its replacement history and delivered quantity. In a one-unit replacement, the history shows Delivered 1 of 1 and Resolved.

The original issue retains the delivered replacement history after resolution.
