After you create draft purchase orders from your Product Board, update each one to match what your supplier is actually charging.
You don't have to send a purchase order to your supplier, but keeping it updated gives you a record of what you're actually paying. Those costs flow into your budget's actuals. See Understand and Track Actuals.
Open a Purchase Order
Click Orders in the left navigation to see purchase orders from every project.
(Optional) Use the filters at the top of the table to narrow the list.
Click an order to open it.
Update a Draft with Your Real Costs
Click Edit PO.
Change a line's unit price or quantity.
Under Shipping, choose Free, No shipping, or $ Amount.
(Optional) Enter a tax percentage.
Click Save changes.
Changes to a purchase order don't affect the Product Board, so what you quoted your client stays the same.
Export and Mark as Sent
(Optional) Click Export PDF.
Review the preview, then click Export and save. A copy is saved to the order's Files tab.
Click the Draft status pill at the top of the order and choose Sent.
Mark the order as Sent even if you don't send the PDF to your supplier. This records the date you placed the order.
Good to Know
Locked items: While an item is on an open purchase order, it shows a red lock on the Product Board. Its specifications and pricing can't be changed, but everything else can.
Revisions: Changes made after an order is marked Sent are tracked. Open the Revisions dropdown to see what changed and when. Edits made while the order is a draft aren't tracked.
